At Photofile Medical Ltd we are committed to continuing the support and assistance we have been providing to personal injury and clinical negligence lawyers alike for over 15 years. This service extends to the clients that we contact on our solicitors firms behalf during their claims process and we wish to reassure all of our clients that Photofile is not in the business of selling, renting or trading email lists or contact details with other companies and businesses for marketing
purposes. It’s just not something that we agree with; all information we hold is dealt with in a confidential and sensitive manner at all times and used only for the purposes instructed to us. To put your mind at ease though, if you require further details of our Privacy Policy including how your gathered information may be used, the limited conditions under which we may disclose it or how we keep it secure, please read on.

Information We Hold

When we refer to information gathered within our policy, we are talking about information that the instructing party feels relevant for us to hold at the time of agreement or that a client may pass to us during communications of their claim. As with our ethics on passing on any information, we equally would never purchase contact information from any third party providers.

For the purpose of monitoring our website and as a useful tool in making sure that our site reaches who we need to, stays easily navigated and runs time efficient we use a third party addon to our website host. Jetpack only capture and process information in a way which does not identify anyone. We do not make, and do not allow Jetpack to make, any attempt to find out the identities of those visiting our website.

When instructing Photofile through email, telephone, fax or online your name, company name and address, telephone number, fax number (if given), email address and details of alternative points of contact will be stored in our IT system. Please be assured again that we do not share this information with any third party. All information held by us is stored within a secured system, fully compliant with GDPR and CyberEssentials.

Wi-Fi

Within Photofile Ltd’s premises wi-fi access is provided upon request. When using PhotoFile we may collect data about;
a) your device
b) the volume of data which you use
c) the websites and applications which you access
d) your usage by access time, frequency and location

Mailing Lists

As part of our instruction process we collect contact information about our instructing parties. We use that information for a couple of reasons: to tell you about services that you have enquired about or that we feel may be of use to you; to contact you if we need to obtain or provide additional information, to check our records are right and to check every now and then that you’re happy and satisfied. We don’t rent or trade email lists with other organisations and businesses.

If you wish for your information to be removed from our system at any stage please contact us to request this. Our full contact details can be found on our website. Once in receipt of your request we will be able to remove your contact details from future mailing lists and any past business correspondence if required.

Processors

During the claims process, whilst arranging digital or medical evidence we may be required to share relevant client contact details with our panel members. All panel members hold confidentiality agreements with ourselves and are individually GDPR compliant. Information passed to a panel member is retained by them for the purpose of organising and completing a report only and held for the duration of their involvement within a claim.

As a representative of Photofile Ltd, our panel members with not share your contact information with any third party. However, each member is responsible for their own actions, compliance and system security. Although regularly reviewed by Photofile Ltd, we cannot be held responsible for any variation or breach within our panel members’ processes.

Access to Information

Under GDPR, as a data subject within our system you are entitled to view, request amendment of, or delete the information we hold in relation to yourself.
