  • What is the best way of instructing Photofile?

    You can instruct us via our website where you can also find all the relevant forms or alternatively you can phone us on 01285 658 111, fax us on 01285 658 108 or instruct us by letter to Photofile Ltd, Globe House, Love Lane, Cirencester, Gloucestershire GL7 1YG.

  • Do you offer coverage of all areas within the UK?

    Simply, yes. Photofile have a nationwide coverage of photographers and videographers. If you have a specific requirement for an individual party to be instructed let us know and Photofile are always happy to assist in any way we can.

  • Do you offer any alternative appointments to the standard weekday times?

    Yes, at Photofile we pride ourselves on the level of client care we are able to give and scheduling mutually convenient appointments for any of our services is a crucial part of this.

  • What does my client need to take with them to their appointment?

    Dependant on which service you have instructed us for, there may be some variants in the documentation required but this is always discussed with your client prior to their appointment. As a rule, we always advise a form of photographic identification will suffice.

  • Do Photofile offer deferred payment terms?

    Subject to the number of instructions received we can offer various payment plans to accommodate your needs. To discuss these, please call 01285 658 111.

Scarring FAQs

  • Is there a charge for home visits?

    If a home visit is provided there is a slight increase in fee, this is always discussed on receipt of your instruction and is case specific. Photofile have a nationwide coverage of photographers and are generally able to offer studio or hospital visits in close proximity to your client. The final decision is yours.

  • Can my client be photographed at my office, with me in attendance?

    Yes, if this is the preference of you and your client, please advise us at the time of instruction and we will be happy to assist. The charge would be that of a home visit.

  • My client is currently in hospital, are you able to photograph them during their stay?

    Yes, if this is the scenario for you and your client, let us know at the point of instruction and Photofile can liaise with the relevant ward to gain access.

  • My client is currently an inmate, are you able to arrange prison visits?

    Yes, Photofile have experience in arranging prison visits. If you advise us of their residence at the time of instruction, along with the relevant point of contact we are happy to assist. Please bear in mind, the prison will always require the solicitor to make the initial contact before access will be granted.  Due to the nature of instruction, we also advise that there is often an increase in fee.

  • Can my client contact you directly to discuss any concerns?

    Yes, holding your clients’ hands is what we do best and a member of the Photofile team is always available to assist with any enquiries they may have.

  • Can my client specify the gender of photographer/videographer assigned to their case?

    Yes, Photofile always aim to make the process as comfortable as possible for your client, therefore male and female photographers are available across the UK.

  • Can you take photographs of my client’s facial scarring with and without make-up?

    For clients with facial scarring it is usually beneficial to take photographs with and without make up and therefore this is standard practice for Photofile.

  • Will I ever need my client to be photographed more than once?

    There are occasions where it may be beneficial for your client to be photographed at regular intervals (sometimes months or even years apart) in order to monitor the development of their scarring. Photofile are always able to assist, often ensuring the client is assigned the same photographer where possible, once again assisting the client with their comfort levels throughout this process.

  • Can photographs be used to demonstrate my client’s difficulties?

    Yes, Photofile are often able to include photographs that demonstrate restricted movement and even how specific tasks can be affected for the client. Every set of photographs are reviewed before leaving the offices to ensure the highest quality product is provided. We will not release anything but the best to our clients and if specific instructions have been given at the point of instruction, Photofile always ensure it has all been met before release.

  • How quickly will I receive the scarring reports?

    Our average turnaround for a photographic report is 14 days, dependant on your client’s availability. However faster turnarounds can be met where necessary; 48 hours is possible, subject to your client’s availability. Please note, there is a slight increase in fee for this expedited service.

  • How can I obtain further copies of the photographs at a later date?

    You can order as many copies as you like, for up to six years after the appointment date. To do so, simply call us on 01285 658 111 or email us and we can arrange for a disc or further hard bound copies to be released to you on the same day. Please note additional sets are charged at the rate of £35 plus VAT, if ordered at the time of instruction however, further copies required after will incur a charge of £45 plus VAT per copy.

DVD FAQs

  • Is it possible for my client’s family and friends to be involved?

    Yes, Photofile are more than happy for family and friends to be involved during filming. If you feel this would be beneficial to the case, please specify such requirements at the point of instruction. Ensuring the client is comfortable at all times is important and Photofile are able to accommodate any request like this.

  • Can you capture footage of my client’s therapy?

    Yes, any therapies that you feel are relevant to the case can be documented by footage and where applicable interviews can also be conducted with the therapists themselves. This can be done regardless of whether the treatment is in the client’s home or at an alternative venue.

  • Can the footage be taken over a series of days?

    When we are instructed at Photofile, we always assess the most efficient and client friendly approach to collecting footage; this can mean that footage is taken over a series of days but all costings are supplied on an hourly rate rather than business days. If your client’s schedule means that they have various treatments throughout a week, we can arrange for a videographer to attend all where applicable.

  • Is there a possibility of night-time filming?

    Yes, if you feel that footage of your clients’ sleep pattern is relevant to the case, Photofile can arrange for our videographer to accommodate this.

  • What is captioning and how is it beneficial?

    Captioning is the option of screen annotation, often used during house tours and when administering medication. It is a useful tool for providing additional understanding to what is being displayed within the footage.

  • What is chaptering and why is this required?

    Chaptering allows each section of your client’s routine to be displayed in a way that is easier for you to navigate when reviewing the footage, either for your own purpose or within court. This is a popular addition and regularly used to draw on points of focus, such as difficult routines within your client’s daily lives. Chaptering will always be arranged to your specific requirements, although Photofile will always aim to keep the footage chronologically accurate.

Locus Reports FAQs

  • I require a locus report to be taken at a specific time of day, can you organise this?

    Yes, at Photofile we always aim to replicate the accident conditions as much as possible. Time of day is often taken into account, as is lighting so if you have any specific enquiries, please notify us at point of instruction or call us on 01285 658 111 to discuss the details beforehand.

  • I require a locus report to reflect certain weather conditions, can this be organised?

    Although we are unable to control the weather, we are always keen to match as many conditions as possible. Please notify us of the weather conditions for the index accident and we can then schedule our filming accordingly. We do advise that this can sometimes cause a delay in filming, however Photofile ensure that the instructing solicitor is kept up to date throughout.

  • Can footage be taken at any speed?

    We understand the importance of reflecting as many of the accident conditions as possible within our footage and where possible within legal limitations, we can capture footage at the requested speed.

  • How are the different parties views represented?

    All elements of the Locus and Locus-in-Motion Reporting are constructed based on fact and from the information provided to us at point of instruction. Both claimant and defendant views will be captured and the way they are provided to you is product specific;

    • For our paper based Locus Reports we will provide printed photographs, with annotation, of the route corresponding with a sketch plan.
    • For Locus-in-Motion ‘Classic’ we capture both views in footage with labels to indicate which you are watching.
    • For Locus-in-Moton ‘2nd Generation’ we provide the labelled footage, GPS mapping and the option to view a digital version of the annotated photographs.

    We always aim to make it very clear to all instructing parties that the Locus products offered by Photofile are in no way accident reconstructions however, we are always keen to match as many details as possible, providing you with a factually efficient report.

  • I require a locus report to be taken at a specific time of day, can you organise this?

Domestic Assistance Quotation Services FAQs

  • What information do you require to enable you to provide me with quotations?

    Ideally Photofile require a schedule of loss, together with the necessary witness statements, at the point of instruction.

  • How quickly can you provide the required quotations?

    Our average turnaround for quotations is 7 working days however, faster turnarounds can be met where necessary.

  • How many quotations will I get?

    Photofile will provide two comparative quotations for requirement specified within the schedule of loss or accompanying instruction. However, if you require an alternative number, please just let us know – this is never a problem.

  • How do you decide who to approach for quotations?

    Photofile always assess your client’s circumstances upon receipt of your instruction; we will always aim to work within a 20 mile radius of your client’s place of residence, unless instructed otherwise.

  • How will I receive the quotations?

    Photofile will provide you with each quotation on the provider’s headed paper, as a PDF by email. If you require a hard copy, this can be provided upon request. Alternatively, if for any reason you require the quotations to be provided on Photofile headed paper, this can also be arranged.
